The Marketing & Administrative Associate, under general supervision, creates and coordinates marketing and social media initiatives, as well as, complex administrative support work. The Marketing & Administrative Associate will contribute to the overall mission of the Counseling Center through providing direct assistance and support to students and licensed mental health staff.
DUTIES & RESPONSIBILITIES:
Designs, coordinates and maintains departmental marketing and social media initiatives. Designs flyers and collateral material for outreach and special events. Assists the Outreach / Prevention Coordinator in the delivery of collateral material for events and programming.
Process, maintain, and organize confidential student mental health files. Process intake paperwork, nurse practitioner appointment schedule, and other confidential records for students.
Assist with multifaceted processes related to busy mental health setting.
Provide administrative support for the Center Director.
Greets visitors, answers and screens calls, provides information and referrals, and schedules appointments. Receives, sorts, and routes mail and performs other mail services.
Maintains a variety of fiscal, administrative, and academic records. Posts information to agency records and modifies forms or records. Verifies, processes, and reviews forms, reports, and other documents. Oversees the proper and secure maintenance of student files/records.
Performs word processing, desktop publishing, presentation, and data management activities. Composes correspondence, reports, publications, and presentations, including editing and proofreading. Creates and maintains spreadsheets, databases, and websites.
Researches and analyzes administrative requirements for specific programs or projects. Provides technical information regarding administrative procedures, services, or programs. May perform mail services.
Makes arrangements for meetings, appointments, conferences, and travel. May set up meetings, seminars, and other special events to include facilities, equipment, and food.
Maintains office supplies and equipment. Maintains office reference materials including online office materials. May deliver, pick up, or receive documents, supplies, equipment, or materials.
Education: High school diploma or equivalent combination of education and experience.
Experience / Knowledge / Skills: Four years of related experience including demonstrated marketing knowledge and social media experience. of word processing, spreadsheet, and database applications. Strong verbal and written communication skills. Strong interpersonal and organizational skills.
Ability to: Ability to multitask and work cooperatively with others. Ability to work with sensitive information and maintain confidentiality.

PREFERRED EDUCATION / SKILLS/ EXPERIENCE:
Degree preferred. Administrative support experience in higher education. Knowledge of and experience with Famis, Cascade and Banner.
SUPERVISION OF OTHERS:
May supervise student workers and graduate assistants.
