The vision of the Adolescent Health Initiative (AHI) is to transform the healthcare landscape to optimize adolescent and young adult health and well-being. We are looking for an experienced Marketing and Events Coordinator to help us achieve this vision. The Marketing and Events Coordinator will be responsible for coordinating and executing the Annual Conference on Adolescent Health and other events, reaching a national audience of multidisciplinary health professionals. This position will oversee conference marketing including strategies to reach health care providers across the country, secure sponsorship and exhibitors, and manage registration processes and payments. The Marketing and Events Coordinator will work directly with staff from AHI and Steering Committee members to provide oversight and leadership to conference events. This position will contribute to AHI’s overall marketing strategy, including coordination of high quality materials, web content, e-newsletters, and social media presence. An ideal candidate will have the ability to coordinate high level projects with accuracy and dependability. The Marketing and Events Coordinator should possess strong organizational and customer service skills and enjoy working as part of a dynamic interdisciplinary team.
Coordinate planning and execution of annual Conference on Adolescent Health and other events for national, multidisciplinary audience of providers and health professionals
Coordinate Call for Proposals and Call for Award Nominations processes and selection
Collaborate with AHI team and Steering Committee to select speakers and develop comprehensive agenda
Manage contracts with conference facilities and vendors
Maintain detailed conference budgets and oversee timely payment of invoices
Develop marketing plans to reach health care providers from across the country
Oversee development of conference and event materials and marketing efforts
Oversee registration and attendee payment process
Coordinate contracts and payment conference speakers
Coordinate exhibitors for conferences ensuring compliance with Michigan Medicine policies
Develop and submit Continuing Medical Education (CME) and Continuing Education Unity (CEU) applications
Secure sponsorships for conferences and events
Ensure staffing and volunteers for day-of conference execution
Collect and analyze conference evaluation data
Coordinate AHI’s marketing strategies across e-newsletter, website, and social media platforms
Attend regional conferences to exhibit and promote AHI’s programs, services, and events
Other duties as assigned
BA/BS in marketing, event planning, or related area
1-3 years of experience planning professional meetings, conferences, or events
Demonstrated ability to meet deadlines, manage budgets and achieve project objectives
Excellent communication and customer service skills
Proficient in web research and social media
Ability to participate in statewide travel as needed
Master’s degree in marketing, event planning, or related area
3 or more years of experience planning professional meetings or conferences
Website development skills
Graphic design skills
Demonstrated interest in working with adolescent and young adult population
Demonstrated knowledge of primary care or adolescent health
Knowledge of Michigan Medicine contracting and CME procedures
