Facilities Services (FS) is a world-class organization providing exceptional services anywhere, anytime in support of the University of Washington's mission of teaching, research, and discovery. FS engages employees through LEAN practices and continuous improvement. FS includes eight departments that operate, maintain and support the University: Administration & Strategic Initiatives (AVP), Building Services Department (BSD), Campus Engineering & Operations (CE&O), Facilities Employee Services (FES), Facilities Maintenance & Construction (FMC), Finance and Business Services (FABS), Transportations Services (TS), and UW Emergency Management (EM).
We have an outstanding opportunity for a Communications & Marketing Manager to lead the creative development and implementation of strategic communications and marketing services for the Facilities Services organization and for the individual departments. The Manager has significant responsibility for enhancing the customer/stakeholder experience and establishing policies and procedures across a variety of platforms including brand management, editorial and content strategies, digital strategies and web services, media and public relations, visual communications, and marketing and communication campaigns.
Reporting to the Assistant Director of Customer Care and Communications, the Communications and Marketing Manager is an active participant in the departmental leadership team and ensures that strategy and operations are coordinated among the Facilities Services varied and interdependent programmatic areas.
Primary Duties and Responsibilities
Management and Organizational Leadership
Direct supervisory responsibility including hiring, development, work allocation, and performance management for assigned staff members
Ensure that resources are deployed consistent with organizational strategy and plans and that sufficient resources are available to support plan success
Participate as a member of the SPCI Leadership Team, ensuring that strategy and operations are coordinated among the department's varied and interdependent programmatic areas; translate and articulate the organizational strategy to staff in assigned programmatic areas and monitor implementation of strategy
Articulate a vision for assigned programmatic areas that challenges and inspires program staff
Manage major projects at any given time, including projects of departmental or institutional significance in addition to workgroup initiatives; monitor programmatic return on resource investment and take actions required to ensure desired results
Develop and monitor program budgets and multiyear financial plans including both program revenues and expenses; forecast market changes affecting program performance and ensure incorporation into organizational financial plans
Set goals, establish timelines, manage resources, establish roles and allocate work, monitor/measure progress, take remedial action or celebrate project/team successes as appropriate
Represent the department and/or program to business partners and other internal and external stakeholders
Manage competing interests and priorities of multiple stakeholders with diverse lines of operation
Engage customers and business partners in the definition of service excellence and use Lean Management tools to lead and to keep the voice of the customer present in staff-driven service improvement processes
Communications and Customer Service
Develop and oversee implementation of procedures to ensure transactional accuracy
Manage internal and external communications through multiple channels and mediums
Ensure consistent tone and messaging that is in alignment with University standards, vision and values
Produce promotional materials for FS departments using appropriate software; provide guidance to Departmental colleagues on communication tone and style
Assist in stakeholder research and analysis regarding the customer experience; use data to inform programmatic efforts and goals
Prioritize work to align with the organization's goals and strategy
Leverage the use of technology including coordinate deployment of tools, development and administration of procedures for use
Maintain a familiarity with business system functions, structures, capabilities, and limitations and participate in configuration and specification of technological enhancements
Interpret requirements; develop, document, and implement procedures
Oversee work processes and output, ensure compliance with applicable laws and regulations, and ensure standards are met within budget and schedule constraints

A Bachelor's degree AND 5 years of directly related experience in communications, public relations, business, or related field
Experience supervising staff or leading long standing teams; experience developing and managing contracts, budgets, and project management
Experience developing content strategies and enhancing user experiences
Demonstrated leadership skills in developing and executing strategies that deliver communication and marketing solutions while leveraging and balancing stakeholder relationships and needs
Demonstrated commitment to customer service; proven interpersonal skills including the ability to work successfully with stakeholders at all levels throughout a complex, diverse organization
Proficient with oral and written communication including developing electronic and written materials, report writing, editing, layout and design
Proficiency with Microsoft Office applications; working knowledge of relevant computer applications including social media platforms, website analytics and content management systems, and Adobe Creative Cloud programs
Excellent organizational skills; ability to work independently and successfully coordinate multiple tasks within project priorities; demonstrated flexibility to meet changing/unpredictable needs
Excellent problem-solving skills; ability to analyze complex information, and to define and solve problems; ability to function effectively within a complex regulatory environment; ability to develop and interpret policies and procedures
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
Experience working in a large university or other large, complex organization
Applied knowledge of change management principles and Lean process improvement
Possession of a valid Washington State driver's license
Conditions of Employment:
Must be able to work in a non-smoking environment and occasionally perform work outdoors with exposure to the elements and variable weather conditions
Must be able to work in an open, shared office environment
Must be able to efficiently and effectively travel locally to alternate work sites as needed
While usual hours fall within standard business hours, work may be required during hours beyond standard business hours including weekends; professional travel may be required
May be required to lift/move up to 40 lbs.
